Trip canceled: when are you entitled to a refund?

The answer depends on who cancels and why. If the tour operator or airline cancels the trip – for any reason, including force majeure such as conflicts or natural disasters – the traveler is generally entitled to a full refund or an equivalent alternative. This is governed by the EU Package Travel Directive (2015/2302) and, for flights, by UK Regulation 261/2004 (UK261) for UK-departing flights or Regulation EC 261/2004 for EU-departing flights.

If the traveler decides not to depart, refund conditions depend on the contract agreed upon at the time of booking.

How can I cancel my trip in case of war?

Recent events in the Middle East have brought this question back into focus. The question is legitimate: if a conflict breaks out in the destination I booked, can I cancel and get my money back?

The answer depends on what you booked and with whom.

When a destination becomes risky — as recently happened with the UAE, Oman, Qatar, Lebanon, and other Middle Eastern destinations — WeRoad cancels affected trips and offers alternatives: changing the trip or receiving a voucher worth 100% of the package value. For destinations not directly affected, trips remain confirmed. WeRoad constantly monitors the situation through local authorities, Foreign Office guidance, and local partners, updating the travel alerts page in real time.

If a flight is canceled due to war, what happens?

When conflicts lead to airspace closures or route cancellations, airlines must generally offer rebooking on an alternative flight or, if unavailable, a refund of the ticket. This applies under UK261 for UK-departing flights, or Regulation EC 261/2004 for EU-departing flights.

If you booked a package with WeRoad and your flight is canceled due to a stopover in an affected area (such as Dubai, Abu Dhabi, Doha, or Muscat) and the airline does not offer alternatives within 48 hours of the start of the trip, the WeRoad team is available to help find a solution. When are you entitled to compensation for a canceled flight?

UK261 (and EC 261/2004 for EU flights) establishes that, in the event of a canceled flight, the passenger is entitled to:

  • Refund of the ticket price within 7 days, or
  • Rebooking on an alternative flight to the final destination, or
  • Financial compensation of £220–£520 (UK261) or €/£/$0250–€/£/$0600 (EC 261/2004) depending on the distance of the route, unless the cancellation is due to extraordinary circumstances (such as conflicts or extreme weather) beyond the carrier’s control.

It is important to note that force majeure — including armed conflicts — may exclude the right to financial compensation, but not the right to a refund or rebooking.

Flight cancellation: what should you do?

  1. Keep all documentation received from the airline.
  2. Check the alternatives offered: you are entitled to an alternative flight within a reasonable time.
  3. Contact your tour operator if you booked a package: it is their responsibility to coordinate with the airline and propose solutions.
  4. Consider filing a complaint with the Civil Aviation Authority (CAA) if you believe your rights have not been respected.

What if the flight is canceled due to a fuel shortage?

This is a rarer case, but not impossible. A fuel shortage is generally considered a circumstance within the carrier’s control — unlike, for example, a storm or airspace closure. In such cases, airlines cannot invoke force majeure, and the passenger is entitled to both rebooking and the financial compensation provided under UK261 or EC 261/2004.

What you should know about this period

  • There is no real flight emergency this summer: it depends on where you depart from and the route
  • Intercontinental flights and those served by major hubs (e.g. London, Paris, Frankfurt, etc.) are hardly impacted
  • Flights that may be more uncertain are charters and short seasonal routes, which can sometimes be replaced by alternatives like trains
  • The only certainty: the earlier you book flights, the less you pay. Fuel prices will continue to rise, so it’s more convenient to buy now rather than later—possibly with a flexible fare for extra peace of mind

  • Maximum flexibility up to 31 days before departure You can change the trip — date or destination — directly from your MyWeRoad personal area, with no penalties and no need to call anyone. The trip change is available up to 3 times, for departures within 12 months of the original date.
  • Keep everything you’ve already paid If your plans change, you don’t have to choose between “I have to go” and “I lose everything.” Whether you’ve paid only the €/£/$0100 deposit or the full amount, you can move your booking to another departure or destination — the amount already paid will be fully applied to your new trip.
  • Flexible Cancellation: the ultimate safety net Add it at the time of booking (€/£/$079 for trips up to €/£/$01,000; €/£/$099 for trips over €/£/$01,000) and you can cancel or change your trip up to 8 days before departure, with a 100% refund of the package — deposit included.

Yes, you can change your trip directly from your MyWeRoad personal area, up to 31 days before departure. If you purchased Flexible Cancellation, you have up to 8 days before departure.

How to change your trip from MyWeRoad

  • Enter your booking
  • Scroll to the “Change your trip” section at the bottom right
  • Select a different date for the same trip or a completely different trip

Things to know

You can change your trip up to 3 times from your MyWeRoad personal area. Further changes must be requested by contacting our team at hello@weroad.com.
The new trip must depart within 12 months from the original departure date.
If your original booking included a private room, Flexible Cancellation, discount codes, gift cards, or vouchers, we will notify you before confirmation if they cannot be applied to the new trip.

You cannot switch to sold-out trips. For “On request” departures, we will check availability. For “Last spots” departures, availability in rooms of your same gender may not be guaranteed.
If there is a price adjustment: if the new trip costs less, we will refund the difference; if it costs more, you will need to pay the difference.
